Due to continued business growth needs, we are looking to recruit and enthusiastic Office Assistant / Client Services Executive to join our office in Dublin.

We are looking for someone with great multitasking skills who can cover a wide range of activities from diary management, booking meetings, travel, planning events, digital media and creative support, liaising with stakeholders and providing full administrative support.

The ideal candidate will have experience working in a fast-paced environment and will be able to demonstrate exceptional organisational and communication skills. You will need to be confident client facing and be able to work with colleagues in other offices throughout the business.

You will be responsible for maintaining internal records and assisting with financial matters for the Dublin team. You will also be tasked with management of all office-related activity, as well as taking care of marketing and social media initiatives.

This role includes support for client services and will involve work with a broad range of clients.

Role Responsibilities

  • Diary management, scheduling client and new business meetings and events
  • Arranging national and international travel, including trains, flights and accommodation
  • Provision of local HR administration to support central HR team in London
  • Coordinate meeting arrangements, key client dates and full diary management for the team
  • Creation and management of PowerPoint presentations and digital assets
  • Correspondence, typing up minutes and general typing and formatting of documents
  • Maintaining/updating client production timetables and programs in Excel
  • Maintaining/updating new business records
  • Remain up to date and able to use all Instinctif Partners systems and work procedures (training supplied)
  • Responsible for ensuring all procedures and production of documents, client packs etc. comply with Instinctif Partners house style and requirements
  • Liaising with all suppliers

Requirements

  • Ideally, previous experience in an Office Assistant role, supporting a busy team
  • Experience in a PR, Consultancy or other Agency environment would be an advantage
  • Strong knowledge of Microsoft Office, particularly Word and PowerPoint, a good knowledge of Excel
  • Attention to detail and high levels of accuracy are essential
